Why a letter instead of a card

A card says "I thought of you." A letter says what you thought. When someone is turning forty, getting married, having a baby, finishing a degree, retiring or grieving, the one line that fits on a card is usually not the one you mean. A letter has room for it.

A card is still a fine thing. If you like, write the short line in the card and put the rest in a letter, so the two work together. The card is what they open first. The letter is what they keep coming back to.

You do not have to be a good writer. Prompts help you start, and the words stay yours. Open When never writes the letter for you.

I will leave a casserole on the porch on Thursday and not ring the bell.

You are going to be wonderful at this. You were already wonderful at the hard parts of everything else.

How an occasion letter works

You write the letter and choose the occasion. It is sealed for the day itself, and it stays sealed until then. Either you give the reader's email and it arrives that morning, or you print a QR code to tuck into a card or gift. The email only says a sealed letter is waiting. It never contains the words.

It is free to write and free to read, and nobody needs an account. You can pick one of five wax seal colors, one of three handwriting styles, and add one song as a link the reader opens with the words. Until it is opened you can unseal it and edit it, or delete it. You can also download your own copy. Letters are encrypted when stored, and nobody at Open When reads private letters.

After reading, the reader can send back one tap: "It helped," "I needed this," "Made me laugh" or "Thank you."

The six occasions

  • Birthday. A letter for a friend, a parent, a partner or yourself. See happy birthday letters.
  • Wedding. Words for the couple on the day, or for each other. Start with wedding vows.
  • New baby. A letter for the new parents, or one for the baby to read someday. See letters to a baby.
  • Graduation. A line for the card and a longer letter for the day. See graduation card messages.
  • Retirement. What they taught you, and what you will miss. Pick one real memory, like the coffee run or the way they handled a bad meeting.
  • Sympathy. Keep it short and specific. Say you are thinking of them, mention one real memory, and offer one small thing you can do. Skip "at least" and "everything happens for a reason." Writing cannot fix grief, but a kind, honest note can sit beside it for a moment.

Giving a letter with a gift or a card

If you would like the reader to hold something on the day, print the QR code and tuck it into a card, or tape it inside a gift. They scan it, and the letter opens in front of them. The letter stays sealed until the day, so there is no peeking in the weeks before.

If you would rather it simply turn up, give their email and it arrives that morning. Either way you choose the wax seal color, the handwriting style and, if you want one, a song. You can also ask to be told when it is opened.

Love, anniversaries and vows

What to write when you are stuck

Start with their name. Add one specific memory, the smaller the better. Say one thing you hope for them. Then sign off in the voice you really use.

If the first line will not come, borrow one of these and change it until it fits:

  • "I have been meaning to tell you something for a while."
  • "I was thinking about the day you..."
  • "I do not have the right words, so here are some plain ones."

What can I write in a letter instead of a card?
Write what you would say if you had an hour with them. Start with their name, add one specific memory, and say what you hope for them. For a birthday, a wedding, a new baby, a graduation, a retirement or a sympathy note, the shape is the same: something small and true, then a plain sign-off.
How do I write a sympathy letter?
Keep it short and gentle. Say you are sorry, share one real memory of the person, and offer something small you can do, like bringing dinner on a certain day. Do not try to explain the loss or look for a bright side. Add that they need not reply. A kind note cannot fix grief, but it can help a little.
What do you write in a retirement letter for a coworker?

What do you write in a letter for a new baby?
For the parents, keep it short and kind: congratulations, one thing you are looking forward to, and one practical offer, like a meal or a walk. For the baby, write something to be read years from now, such as who was in the room, what the world felt like that week, and what you hope for them. Leave the advice for later.
